Shipping & Scheduling Coordinator
Job Description
The Shipping Coordinator/Scheduler plays a critical role in ensuring efficient, on-time delivery (OTD) of materials to our customers. This position is responsible for scheduling deliveries, coordinating with internal teams and external partners, managing truck related service/repairs, and maintaining clear communication across all stakeholders. By actively monitoring order status, optimizing delivery routes, and supporting the operations team, this role directly contributes to customer satisfaction and operational success.
Mission
Support the Operations Director in driving SQDCI (Safety, Quality, Delivery, Cost, and Inventory) performance by efficiently coordinating shipments, leading the dock team with a positive attitude, and ensuring seamless delivery execution.
Outcomes
1. Achieve 99%+ delivery success rate to customers consistently.
2. Ensure next day's schedule is distributed by 12pm.
3. Proactively solve delivery issues, minimizing delays and maintaining customer satisfaction.
4. Maintain accurate and up-to-date shipment records in the system.
5. Optimize delivery routes and consolidate shipments to improve efficiency and reduce costs.
Position Reports to:
Director of Operations, Commercial/MultiFamily Division
Responsibilities
- Champion a culture of Safety, Professionalism, and a Positive Attitude across all interactions.
- Build and maintain strong relationships with internal teams, customers, vendors, and third-party carriers.
- Monitor sales orders daily to ensure readiness for shipment.
- Schedule and coordinate deliveries with onsite customer contacts.
- Consolidate shipments and optimize routing to maximize delivery efficiency.
- Arrange and manage third-party carrier logistics when needed.
- Prepare and manage all necessary shipping documentation.
- Communicate proactively regarding back-ordered materials or delivery changes.
- Update order statuses electronically and ensure system accuracy.
- Report delivery issues promptly to the Director of Operations and relevant Project Managers.
- Support continuous improvement initiatives, including 5S and process optimization on the dock.
Qualifications
- Prior experience in logistics, shipping coordination, or scheduling preferred.
- Proficiency in Microsoft Office and familiarity with ERP or order management systems.
- Strong organizational and problem-solving skills.
- Ability to manage multiple priorities in a fast-paced environment.
- Excellent verbal and written communication skills.
- Knowledge of local/regional road networks and potential closures is a plus.
